Information we receive
If you use our enquiry form, we receive your name, email address and message. If you contact us directly, we also receive the information you include in your correspondence. Please provide only information relevant to your enquiry.
Providing your contact details is voluntary, but we need them to reply.
The website's enquiry service also uses connection information, including an IP address and request timing, to limit abusive submissions. It does not create a separate database of enquiry messages: accepted enquiries are sent by email.
Serving and securing the website also involves technical connection information, such as IP addresses, request times, browser information and requested pages. This is distinct from an advertising profile or visitor-analytics programme.
Why we use it
We use enquiry information to read and respond to your message, discuss possible business and keep necessary correspondence records. We do not add enquirers to newsletters or marketing lists.
For ordinary enquiries and necessary correspondence records, we rely on our legitimate interests in communicating with people who contact our business and managing those communications. Website operation and abuse prevention serve our legitimate interests in keeping the website available and protecting the enquiry service. We consider your rights and reasonable expectations when using those interests.
Where processing is necessary to take steps at your request before entering into a contract with you, or to perform that contract, we rely on that basis. Where a specific legal obligation requires retaining information, we rely on that obligation. Optional embedded content loads on your permission, which you may withdraw through Cookie settings.
Access and storage
Within Great Island Productions Limited, access to enquiries is limited to authorised employees and directors who need the information for their work. No outside advisers or other external personnel have routine access to those enquiries, as confirmed by the company.
We use Microsoft 365 Exchange for email, and company computers may hold local copies. Microsoft processes information to provide and support its services; this is distinct from staff reading enquiries. Necessary disclosure may also occur where required by law.
Hosting.com provides the company's website hosting. Website hosting and technical delivery services process connection information to deliver pages and support availability and security. Microsoft 365 Exchange provides our enquiry email service. These technical services are distinct from giving outside people routine access to read our correspondence.
How long we keep enquiries
We review enquiry correspondence annually. We normally delete closed enquiries more than two years after the last correspondence, unless there is a documented continuing business or legal reason to retain them.
If an enquiry becomes part of an ongoing project or business relationship, the relevant records are kept only as long as necessary for that purpose and applicable legal requirements.
Our review covers email and local copies. Deletion from active correspondence does not necessarily remove recovery copies immediately: provider recovery arrangements and any applicable retention or legal requirements may retain copies for longer. Recovery copies are not used as an alternative active correspondence archive. Contact us for information about a particular deletion request.
The enquiry service uses temporary in-memory connection records for ten-minute rate-limit windows. Expired entries are discarded during later submissions, and all entries are cleared on service restart. Any necessary hosting or security logs are retained according to their security, troubleshooting and legal purpose, rather than for marketing.
Embedded content and links
The website offers an embedded Google Map and YouTube video content. The map, video thumbnails and players remain blocked until you allow the relevant service. Once allowed, they connect your browser to Google, which receives connection information and may use cookies or similar storage under its own privacy terms.
You can allow YouTube and Google Maps separately and withdraw permission using Cookie settings in every page's footer. Our Cookie Notice explains the stored choice and how withdrawal works. The website does not add visitor analytics or advertising trackers. Our same-site MP4 videos remain available without Google permission.
Google handles information from its services under its privacy terms, including service, security and personalisation purposes. Following an external link takes you to a separately operated website. Withdrawal blocks future embedded loads; it cannot undo data already sent or erase Google's existing cookies.
International processing
Our service providers operate internationally. Processing may involve countries outside the European Economic Area, including the United States; we do not promise that all website or email information stays in Ireland or the EEA.
Microsoft's published Data Protection Addendum sets out its contractual safeguards, including standard contractual clauses for relevant transfers. Hosting.com publishes a Data Privacy Framework notice. Google describes its transfer arrangements in its data-transfer information.
These published materials describe the providers' arrangements, not a guarantee that every transfer uses the same mechanism. You can request information about the arrangements applicable to your information and how to obtain relevant safeguards by contacting us at the address above.
Your rights
Depending on the circumstances and applicable law, you may request access to your information, correction, deletion, restriction of processing or data portability. You may also object to processing based on legitimate interests. These rights are subject to applicable conditions and exceptions.

Where processing depends on your consent, you may withdraw it without affecting the lawfulness of processing before withdrawal. You can ask us to explain the basis and retention applicable to your particular enquiry.
The website enquiry process does not make solely automated decisions producing legal or similarly significant effects about you, or profile you for marketing.
